Customer emails and templates

Kuuply emails your customers at key moments of a booking. You decide which emails are sent and what they say.

Go to Settings → Emails.

Turn email events on or off

Under Events, each row is one email:

EventSent when
Booking createdA booking is confirmed
Booking canceledA booking is canceled by the customer
Booking endedA booking is returned

Switch an event off and that email is no longer sent.

For bookings you handle yourself, you also choose per booking whether to send the confirmation and booking-ended emails. See Booking statuses.

Edit a template

  1. Choose Edit template next to the event.
  2. Choose the Language. Each language has its own version of the template.
  3. Edit the Subject and the Email content. You can write the content as plain text or as HTML.
  4. Choose Preview to see the email with sample booking data.
  5. Choose Test to send yourself a copy.
  6. Save.

Customers get the email in the language they used when booking.

To undo all your changes, choose Reset templates on the Emails page. This restores every template to the original.

Template variables

Variables are replaced with real details when the email is sent. Write them in double curly brackets, for example:

Hi {{ customer.name }}, your booking is confirmed for {{ booking.period }}.

The Variables panel in the template editor lists every variable. Select one to copy it. The most used:

VariableBecomes
{{ customer.name }}The customer’s name
{{ booking.period }}The booking period as one range
{{ booking.pickup }} and {{ booking.return }}Pickup and return date and time
{{ booking.url }}Link where the customer can view and manage the booking
{{ location.address }}Address of the pickup location
{{ brand.name }}Your brand name
{{ organization.email }}Your contact email

BCC and default attachments

  • BCC address – under General, enter an address to receive a hidden copy of every email Kuuply sends for you. Useful for a shared inbox.
  • Default attachments – in a template, add files that should go out with every email from that template, such as your rental terms or a packing list.
