How Kuuply works: inventory, services, products and bookings

A short tour of the ideas Kuuply is built on. Knowing these makes every other article easier to follow.

Inventory, services and products

  • Inventory items are physical things you own, such as bikes, tents or tools. Kuuply tracks how many you have at each location. An item is either a Rental item, which comes back, or a Sales item, which does not.
  • Services are things you provide by time, such as a lesson or a delivery crew. Their availability is limited by how many you can run at once, or by the inventory they need.
  • Products is the combined list of everything bookable: every inventory item and every service. Use it to see your whole catalogue in one place and to organise it into product groups.

An inventory item can have variants, for example sizes or colours. Each variant has its own SKU and stock.

Bookings and their lifecycle

A booking has a period, a location, a customer and rows of products. It moves through these statuses:

StatusMeaning
DraftBeing prepared. Nothing is held from stock.
ReservedConfirmed. The quantities are held from stock for the booking period.
Picked upThe customer has the items.
ReturnedThe items are back.
ArchivedFinished and filed away.
CanceledCalled off.

Bookings made in your online store start as Reserved. Bookings you create yourself start as Draft. See Booking statuses.

Workspaces and locations

A workspace is one business: its catalogue, bookings, customers and settings. One account can belong to several workspaces and switch between them from the user menu.

A location is a place where customers pick up and return items. Stock is counted per location, and every booking belongs to one location.

The Home dashboard: tasks and revenue

Tasks lists upcoming pickups and returns, sorted by what needs attention first. Anything due right away is marked NOW, and bookings without a customer are flagged Missing customer.

Overview shows revenue, number of bookings and average revenue for the period you select, compared with the previous period.
