Take security deposits

A security deposit is an amount you hold while the customer has your equipment and give back when it returns in good condition. In Kuuply you set the deposit per rental item, and every booking shows the total to collect.

Set a deposit on a rental item

  1. Go to Inventory and open the item.
  2. Go to the Store tab.
  3. Enter the amount under Deposit.

The deposit is per unit. Only rental items have a deposit; sales items and services do not.

How the deposit on a booking is worked out

For bookings made in your online store, Kuuply adds up the deposit of every rental item in the booking, multiplied by its quantity.

Customers see the Security deposit as its own line at checkout and in their booking details, separate from the rental price.

Bookings you create yourself start with a deposit of zero. Enter it on the booking as described below.

See or change the deposit on a booking

Open the booking and look at the totals under the rows. Security deposit is listed separately from the subtotal, and the Total includes it.

To change it, click the deposit amount and type a new one. Use this to:

  • add a deposit to a booking you created yourself
  • waive the deposit for a regular customer by setting it to zero
  • ask for more on a high-risk rental

Changing the deposit on a booking does not change the deposit set on the item.

Deposits and damages

When the items come back, choose Return on the booking. If something is broken or missing, enter the cost under Damages. See Booking statuses.

What the customer gets back is the deposit minus the damages. If the damages are higher than the deposit, the customer owes you the difference.

Deposits in your revenue figures

On the Home dashboard, Revenue includes security deposits and Profit leaves them out. Read profit when you want to know what you earned, since deposits normally go back to the customer.

Deposits in exports

The Bookings export has a Deposit column with the deposit of each booking, and the Inventory items export has the deposit set on each item. See Import, export and delete your data.
