Add inventory items, variants and stock

Inventory items are the physical things you rent out or sell. This article covers adding items, splitting them into variants and keeping stock correct.

Rental items and sales items

Every item has an Item type:

  • Rental item – goes out and comes back. Can have a deposit.
  • Sales item – is sold and does not come back, for example fuel, gloves or a map.

You can change the type later on the item’s Settings tab.

Add an inventory item

  1. Go to Inventory and choose Add item.
  2. Enter a Name and a SKU. The SKU is your own code for the item.
  3. Choose the Item type.
  4. Choose the Stock tracking method (see below).
  5. Save.

The item opens with these tabs:

StockVariants and current stock per location

Variants and attributes

Variants are versions of the same item, each with its own SKU and stock.

  1. Open the item and go to the Stock tab.
  2. Choose Attributes and add the properties that tell variants apart, such as Size or Colour.
  3. Choose Add variant, enter the SKU and a value for each attribute.

Use Duplicate in a variant’s menu to add similar variants quickly.

To let customers pick the variant themselves in the online store, go to the Store tab and turn on Selectable under Variant selection. Prices are then set per variant. See Set prices, pricing rules and deposits.

Adjust stock

Stock is kept per location. On the Stock tab, select the location first.

  • Quantity tracking: choose +/- next to a variant, pick Increase or Decrease, enter the quantity and confirm.
  • Individual tracking: use the toggle next to a variant to switch it between In stock and Out of stock, for example while it is being repaired.

When a booking is reserved, the quantities are held from stock for the booking period. You do not adjust stock for normal rentals.

Scan barcodes

  1. Go to Add-ons and enable Barcode scanning.
  2. On the Inventory page, choose Scan barcode.
  3. Allow camera access when your browser asks.
  4. Scan a product barcode to add a new item or adjust the stock of an existing one.
