Create and edit bookings

Bookings arrive from your online store, or you create them yourself for customers who call, email or walk in. Both kinds are managed in Bookings.

Create a booking

  1. Choose New booking.
  2. Select the pickup and return date and time.
  3. Select the location.
  4. Choose Create.

The booking is created as a Draft. Nothing is held from stock yet, so you can take your time adding the details.

Add items

  1. On the booking, use the search box to find a product or service. The list shows how many are available for the booking period.
  2. Select it to add a row.
  3. Set the Quantity. Under the quantity you see how many are available; it turns red if you ask for more than you have.

To change a row, click its description, unit or price and type the new value. Choose Bulk edit to make every row editable at once.

Use Custom row for anything that is not in your catalogue, such as a one-off fee or a discount. Changing a price here affects only this booking.

The totals under the rows show the subtotal, VAT, security deposit and total.

Change the booking period or location

  • Choose Edit period, set the new pickup and return time and save. Availability of the rows is checked again for the new period.
  • Use the location picker on the booking to move it to another location.

Assign a customer

In the customer panel, select an existing customer or add a new one. For business customers, fill in the legal name and legal address.

A booking needs a customer before you can send emails for it. See Manage customers.

Notes and additional info

  • Notes are for your team only. Customers never see them. Use them for handover details and reminders.
  • Additional info is what the customer wrote when booking in the online store.

Activity log

Activity at the bottom of the booking lists what has happened and who did it: creation, changes, status changes and emails sent. Bookings from the store are marked Online Store.

Delete a booking

Open the menu next to the status button and choose Delete. This removes the booking permanently. To keep a record, cancel the booking instead. See Booking statuses.
